A water softener, filter, ultraviolet unit, or other treatment system may stay with a house when ownership changes. The equipment might be working properly, overdue for service, set up incorrectly, or no longer connected at all. You should not have to guess.
Your first goal is not to adjust settings or buy replacement supplies. It is to identify what the system does, confirm where the water flows, and learn what it takes to keep the equipment working. This guide walks through that process without assuming the previous owner left complete records.
Start with a complete equipment inventory
Follow the plumbing from the point where water enters the house. Write down every treatment component you find, including equipment that appears unused. Look for sediment filters, cartridge housings, softeners, iron filters, carbon filters, chemical feed pumps, holding tanks, reverse osmosis units, ultraviolet chambers, pressure tanks, and bypass valves.
For each component, photograph the entire unit and its label. Record the manufacturer, model number, serial number, tank size, filter number, and any settings shown on a display. Take separate pictures of plumbing connections, drain lines, electrical plugs, shutoff valves, and labels on replacement supplies.
Do not assume two similar tanks perform the same job. A softener, iron filter, and backwashing carbon filter can look nearly identical from the outside. The control valve settings, plumbing arrangement, and media inside the tank may be the only useful clues.
Confirm which water the system serves
A system in the basement does not necessarily treat every fixture. Some homes have separate lines for outdoor faucets, kitchen cold water, drinking water, or irrigation. An under sink unit may serve only a dedicated faucet or may also connect to a refrigerator.
Trace the plumbing where practical. Then test the arrangement by turning individual shutoff or bypass valves only if they move freely and their function is clear. If a valve is stuck, leaking, unlabeled, or difficult to reach, leave it alone until a plumber or treatment provider can inspect it.
Create a simple map showing the order of the equipment and the fixtures each unit serves. This helps prevent mistakes such as buying a whole house filter when the existing problem occurs only on an untreated line.
Find out whether the equipment is operating
Check whether each powered unit is plugged in and whether its display is active. Look for error messages, incorrect time settings, disconnected transformers, closed valves, empty chemical tanks, kinked tubing, and drain lines that have been removed or capped.
Inspect the floor and nearby walls for moisture, salt deposits, rust marks, or staining. Listen for water running when no fixture is open. A drain line that flows continuously may indicate a control problem. A small amount of discharge during a scheduled cleaning cycle may be normal.
Check the bypass position before drawing conclusions about water quality. Equipment can appear operational while all household water is routed around it. Photograph the valve position before moving anything. If the markings are unclear, ask a provider to identify the service and bypass positions.
Collect the records that control maintenance
Search utility rooms, kitchen files, and paperwork left with the house for manuals, invoices, service tags, water test reports, filter labels, and warranty documents. Also look for company stickers on the equipment.
The most useful records answer practical questions:
What is each unit designed to remove or reduce? What supplies does it require? What is the correct replacement filter or lamp? What maintenance has been performed? When was the media last replaced? What settings were selected, and what water test supported them? Is the equipment owned, rented, or covered by a service agreement?
A service sticker is a lead, not proof that maintenance is current. Ask the listed company whether records can be transferred to you and what information it needs to locate the account. Do not share payment information until you understand whether any agreement follows the property or belonged only to the previous owner.
Establish a baseline before changing settings
Record current settings before pressing buttons or starting a manual cycle. For a softener or backwashing filter, note the time, water hardness setting, capacity, regeneration frequency, and cycle schedule. For an ultraviolet system, note indicator lights and any alarm status. For a chemical feed system, record the solution level, pump setting, and condition of the tubing.
Next, observe the water at several fixtures. Note odor, color, staining, scale, pressure, taste, and whether hot and cold water behave differently. These observations do not replace water testing, but they help a provider understand what you are experiencing.
If the water source or treatment purpose is uncertain, arrange appropriate testing before making major changes. A provider should be able to explain what should be tested, where the sample should be collected, and how the results relate to the existing equipment.
Inspect the maintenance points
Every system has parts that require attention. Your inventory should identify them and the signs that service is due.
For cartridge filters, check the housing label, cartridge number, wrench location, shutoff arrangement, and whether there is enough room to lower the housing. For a softener, check the salt level, salt condition, brine tank cleanliness, drain connection, and overflow tubing. For a backwashing filter, check the drain route and confirm that discharge has a safe place to go.
For reverse osmosis equipment, identify each cartridge, the membrane housing, storage tank, dedicated faucet, and any refrigerator connection. For ultraviolet equipment, locate the lamp information, power supply, alarm instructions, and water shutoff. Avoid looking directly at an operating ultraviolet lamp or opening a powered chamber.
Do not open pressurized housings, disconnect electrical components near water, or pour chemicals into an unlabeled tank. Unknown equipment should be identified before it is serviced.
Ask for an ownership focused inspection
If records are missing or the system is complicated, request an inspection rather than immediately authorizing replacement. Explain that you have taken over an existing system and want an equipment inventory, condition assessment, water flow map, and maintenance plan.
Ask the provider to put these details in writing:
The purpose of each component, whether it is currently in service, any immediate safety or leakage concerns, the supplies required, the recommended service tasks, the basis for each maintenance interval, and which tasks a homeowner can reasonably perform.

Create a maintenance plan tied to the equipment
A useful plan should name the task, trigger, supply, procedure, and responsible person. Avoid vague reminders such as service filter. Write down the exact cartridge, the condition or interval that triggers replacement, where the shutoff is located, and whether you or a technician will do the work.
Keep one folder for manuals, test reports, invoices, settings, and photographs. Add a maintenance log showing what was done, what parts were used, and any changes noticed afterward. Store replacement part numbers in the log, but verify them against the equipment label before ordering.
Set reminders according to the manufacturer instructions, measured water use, water conditions, and the provider's written recommendations. A calendar alone is not enough. Pressure changes, alarms, unusual drain activity, leaks, odor, staining, and changes in treated water can justify an earlier inspection.
Know what requires prompt attention
Arrange service promptly if you find active leaks, damaged electrical cords, standing water near powered equipment, an ultraviolet alarm, an overflowing brine tank, a chemical container without a readable label, or a drain line that runs continuously.
Stop using a dedicated drinking water faucet if its treatment history is unknown and you have a specific reason to question the system's condition. Use an appropriate alternative water source until the equipment and water have been evaluated.
The right outcome is not simply getting every old unit running. It is knowing what each component does, whether it is still needed, and how you will maintain it. Once those answers are documented, the system becomes part of the home you can manage instead of a collection of tanks and tubes you have to trust blindly.
